Invoicing software: how to choose one

Invoicing is the most local software category there is. What matters is rarely the feature list — it is whether the tool knows the rules, the registries and the payment habits of the country you invoice in.

What to look for

  1. Does it know your country's requirements?

    Legal invoice contents, VAT handling and electronic invoicing mandates are national. A tool that is excellent internationally may not be usable where you are.

  2. How much typing does an invoice take?

    Company lookup from a public registry, saved items and templates are the difference between two minutes and ten.

  3. How do clients pay?

    Local payment habits matter more than card support. A payment code your clients' banking apps recognise gets invoices paid faster than a payment link they ignore.

  4. Does it match payments automatically?

    Reconciling by hand is the part everyone underestimates. Check how the tool learns that an invoice was paid.

  5. What does your accountant need?

    Ask them before you choose. An export they already know beats a feature list you liked.

  6. Do you need recurring invoices?

    If you bill the same thing every month, this feature is worth more than everything else combined.

  7. Where do the invoice lines come from?

    If you bill for time or work, a tool that only issues invoices leaves you assembling the lines by hand somewhere else.

  8. Can you get your data out?

    Invoicing records outlive tools. Check the export format before you have four years of history in it.

What matters when you invoice in the Czech Republic

There is no electronic invoicing mandate for business-to-business invoices in the Czech Republic, which makes the market unusually open — though public contracting authorities must be able to receive an electronic invoice, so check that if you sell to the public sector. What there is instead is a set of conventions a tool either supports or it does not, and doing them by hand is tedious enough that most people give up.

  • Company details filled from the ARES registry by IČO, so you are not retyping addresses or checking VAT numbers
  • A QR payment code in the SPAYD format, which Czech banking apps read directly from the invoice
  • The variable symbol carried through, so the payment can be matched back to the invoice automatically
  • Legal invoice contents for a tax document, and correct handling for non-VAT-registered businesses
  • An export your accountant already works with — ask them by name rather than guessing
  • For VAT-registered businesses, an export carrying the details the VAT control statement needs, since invoices above 10,000 CZK including VAT are reported individually

Common mistakes

Choosing on features rather than on local fit

An international tool with a longer feature list can still be unusable if it does not know your registry, your payment format or your tax document rules.

Not asking the accountant first

The export they already work with is worth more than any feature. This is a five-minute conversation that prevents a year of friction.

Migrating issued invoices

Accounting records belong in the system that issued them. Move the client list, continue the number series, and leave history where it is.

Buying invoicing when the problem is upstream

If the hard part is working out what to bill rather than issuing the document, a faster invoicing tool will not help.
